Organization: Good Game Family, an Arizona nonprofit corporation, EIN 92-3566787
Applies to: the Good Game Family website and My GGF Portal
Privacy contact: compliance@goodgamefamily.com
Effective date: September 22, 2026
Version: 1.1
Last updated: October 2, 2026 (added GGF Sidekick AI website guide)

1. Scope

This policy describes how Good Game Family, or GGF, handles personal information through its public website and My GGF Portal. It applies to website visitors and adult account holders, including staff, volunteers, creators, streamers, school contacts, program contacts, partners, and other approved users.

My GGF accounts are for adults age 18 or older. Parents, guardians, teachers, and other adult school or organization contacts coordinate youth participation. GGF does not offer My GGF accounts directly to minors.

The Portal uses an adult self-attestation for protected Portal routes. The record stores the attestation version and time of attestation. This confirms that a user checked the adult-attestation box. It is not identity verification and does not independently verify the user's age.

2. Information We Handle

Depending on how a person uses the website or Portal, GGF may handle:

  • Account and contact information, such as name, email address, authentication information, role, access status, and profile details
  • Adult self-attestation records, including the attestation version and timestamp
  • Requests, assignments, status updates, conversations, messages, approvals, and related workflow records
  • Event proposals, participation information, and program information
  • Onboarding progress, required-resource access, and acknowledgements
  • Volunteer-hour submissions, review status, and service history
  • Moderation records, reports, and access decisions
  • Files, images, documents, and other content a user uploads
  • Creator or streamer submissions, including private uploads provided for review
  • Website interaction and technical information recorded through configured analytics
  • Browser-stored information used for authentication, sessions, settings, and preferences

Not every category applies to every person or account type. GGF seeks to collect information relevant to the interaction, activity, or role.

Creator and other private submissions remain nonpublic unless GGF separately approves them for publication and receives any additional permission required for promotional use.

3. How We Use Information

GGF may use information to:

  • Create, authenticate, and administer accounts
  • Apply age-attestation and access requirements to protected Portal routes
  • Provide onboarding, role guidance, navigation, resources, and member benefits
  • Receive and respond to requests
  • Support requester conversations and appropriate status visibility
  • Coordinate programs, events, volunteer service, creators, partners, schools, and community activities
  • Review volunteer hours, moderation matters, approvals, and exceptions
  • Review submitted files or content and make publication decisions
  • Maintain, secure, troubleshoot, and improve the website and Portal
  • Meet recordkeeping, governance, and legal obligations applicable to GGF

4. Connected Work Systems

The Portal supports onboarding, role guidance, request intake, requester conversations, and linked status visibility. Work may move through the following GGF systems:

  • monday.com: internal execution and accountability, including ownership, status, due dates, next actions, blockers, handoffs, approvals, and delivery tracking
  • Microsoft Teams: internal staff coordination and conversation
  • SharePoint: authoritative approved documents and records
  • Canva and the Creative Content Hub: creative production and approved creative assets

The Portal may link to or display appropriate status from these systems. Information handled by connected providers may also be governed by their privacy terms.

5. Analytics, Cookies, and Browser Storage

The website may use configured analytics to understand site use and improve the experience. The website and Portal use browser storage for authentication, session continuity, settings, and preferences. A user's browser may allow the user to control or remove stored information, but doing so can affect sign-in or site functions.

The specific technologies used may change as GGF updates its website and Portal. GGF will update this policy when a material change affects the information described here.

GGF Sidekick AI website guide

GGF Sidekick is an automated AI guide on the website. It is not a staff member, and it is not monitored for emergencies. If you or someone else may be in danger, contact local emergency services.

When you ask Sidekick a question, your question and the last few messages of that conversation are sent to Base44's AI service, which GGF uses as a service provider, to produce an answer. GGF does not save your questions or Sidekick's answers in its website records.

To apply daily question limits and prevent misuse, GGF stores a coded value created from your internet (IP) address and the date, along with the time of each question. This value does not include your name or email address. These usage records are retained as described in Section 8.

Please do not share passwords, payment details, health information, or personal information about children in Sidekick.

6. When Information Is Shared

GGF does not sell personal information.

GGF may disclose information when reasonably needed to:

  • Operate the website, Portal, and connected work systems through service providers
  • Complete an approved request, program, event, partnership, or organizational workflow
  • Provide authorized staff or role-based users with information needed for their work
  • Protect users, GGF, or others, investigate misuse, or enforce applicable rules
  • Comply with law, legal process, or valid government requests
  • Carry out another purpose described when the information is collected or directed by the person

GGF does not describe another organization as a partner or endorser solely because GGF links to one of its public resources.

7. Donations, Apparel, and External Links

The website may link to Zeffy for donations. Zeffy is an external service. Donation information submitted there is handled under Zeffy's terms and privacy practices, although GGF may receive donor and transaction information made available to the organization.

The website may link to Fansidea for apparel. Fansidea is an external shopping destination. GGF does not operate Fansidea or process its checkout. Purchases are governed by Fansidea's terms and privacy practices.

The prior Wix and Printify shop is discontinued. Older Wix or Printify shop language does not describe the current website model.

Other external sites linked by GGF have their own privacy practices. A link does not mean GGF controls or endorses the external site.

8. Retention and Deletion

GGF retains information for as long as reasonably needed for the purpose for which it was collected, organizational recordkeeping, security, dispute resolution, protection of users and GGF, and applicable legal obligations. Retention depends on the type of information, the activity or relationship involved, operational needs, and applicable requirements.

GGF does not promise automatic deletion or a fixed retention period for every category of information.

9. User Content and Publication

Users retain the ownership rights they hold in content they submit. Users must have authority to provide the content and any included names, images, music, marks, or other protected material.

By submitting content, the user gives GGF a limited, nonexclusive license to host, store, copy, review, and process that content only as reasonably needed to operate the submission or requested workflow. This limited license does not authorize public promotional use.

GGF must obtain separate permission before using submitted content publicly for advertising, fundraising, promotion, or other public-facing communications, unless that permission is already contained in a separate written agreement or release. GGF may decline to publish or may remove submitted content.

10. Account Access and Security

Portal access depends on account type, lifecycle status, onboarding, and permissions. Users should protect their credentials and promptly report suspected unauthorized access.

GGF uses administrative and technical measures intended to protect the website and Portal. No online system is completely secure, and GGF cannot guarantee that an incident will never occur.

11. Children's and Student Information

My GGF accounts are limited to adults age 18 or older. Youth involvement is coordinated by parents, guardians, teachers, or other adult organizational contacts.

The Portal's self-attestation record is not verified proof of age. Adults should avoid submitting information about a minor unless it is needed for an authorized GGF activity and they have authority to provide it.

Activities involving minors or student information may be subject to additional notices, permissions, agreements, or consent requirements depending on the activity and GGF's role. GGF may require those measures before collecting or using such information.

12. Choices and Privacy Requests

Users may contact GGF to ask about their information, request a correction, request account closure, or make another privacy request. GGF will evaluate each request based on applicable requirements, operational needs, security, and recordkeeping obligations. Some information may need to be retained after access ends.

The Portal does not promise self-service data export or automatic deletion.

To submit a privacy request, email compliance@goodgamefamily.com.

13. Changes to This Policy

GGF may update this policy as its services or practices change. The current version and effective date will be posted with the policy. When a change materially affects use of the Portal or the handling of account-holder information, GGF will provide reasonable notice to affected account holders, such as through the Portal or email.

14. Contact

Privacy, data, or legal questions may be sent to compliance@goodgamefamily.com.

General organizational questions may be sent to info@goodgamefamily.com.
